Toledo Sailing Club ordered 22 custom embroidered polo shirts from us: red bodies with blue trim on the collar, cuffs and shoulders, the club's ship's wheel logo stitched on the left chest, and each member's name and club title printed on the right chest. The shirts were delivered on 19 October 2026, two days before the club's deadline.

Shared with the club's permission, this case study walks through the order as it happened: the reference picture, logo proofing, the size list, and one fix after delivery. If you are planning polo shirts with embroidered logo for your own club, the steps are the same ones you would follow with any design in our custom embroidered polo shirts collection.

The Challenge: A Club Polo That Was Not on the Shelf

The club's organizer wanted a red polo with blue trim and the club's ship's wheel logo, and could not find that style in our store. On 17 September 2026 he sent a reference picture and asked whether we could make it.

Toledo Sailing Club is based in the Toledo area of Ohio, and the shirts were for 22 members ahead of a Saturday-evening presentation. The style the organizer had in mind was not on any product page, so he did what we recommend to every club: he sent a picture of a polo he liked and asked if it was possible.

He also asked whether the logo could be embroidered and whether women's cut polos exist. Yes to both: men's and women's cuts sit in the same listing, so one order can carry both.

There was one catch. The reference shirt had contrasting cut-and-sew side panels, and those panels need a 50-piece minimum. At 22 shirts, the club was above our 20-piece embroidery minimum but below 50. We suggested dropping the side panels and keeping the blue collar, cuff and shoulder trim, and the organizer agreed. If your group is close to 20 people, our polo shirts from 20 pieces collection shows the styles that work at that size.

The Solution: Ship's Wheel Embroidery, Names, Titles and Blue Trim

The final design was a red polo with blue trim on the collar edge, sleeve cuffs and a shoulder panel, the TSC ship's wheel embroidered on the left chest, and each member's name and club title printed in white on the right chest.

A red body with blue trim comes together when the body and trim colors can be set separately, which is what our fully custom embroidered polo is built for. The organizer sent a color swatch for the blue, and we chose the closest match from the colors available to us.

During production the tipping was simplified to a single blue line on the outer edge of the collar and cuffs, instead of the two lines in the reference. If you like the look of contrast tipping, our classic tipped custom polo is a ready-made starting point.

On the right chest, each member's name sits over their club title, printed in white, with titles such as "Fleet Captain". Some members asked for a name only, with no title, and we followed the organizer's spreadsheet line by line. The club picked the font from a set of options. We can also embroider names at no extra charge, as our guide to personalized shirts with logo and names explains.

Getting a Small Logo Right in Thread

A left chest logo is small, about 8 to 9 cm wide on this order, so fine detail has to be planned. Over two proofing days we adjusted the club's ship's wheel so it would stitch cleanly at that size.

On 25 and 26 September the organizer sent an updated wheel with a wavy pennant flag. He asked how the white border around the flag would stitch. We explained that it is a white outline stitch, there to separate the flag from the other elements, so the flag reads as its own shape against the wheel and lettering.

He also asked us to extend the wheel spokes behind the flag, where the artwork left an odd patch of empty space. We did, so the wheel looks complete with the flag on top.

We were also upfront about one limit of thread. At this size, the points where spokes, flag and lettering meet are very fine, and in embroidery they can look slightly different from the artwork on screen. We sized the logo for the clearest result on the left chest, and the organizer approved it. Our guide on how to embroider a logo on a shirt covers logo sizing for each spot.

Tip: if your logo has a small flag, crest or lettering inside a ring, check it at real size on the mockup. Questions like these are much easier to settle before stitching than after.

Mixed Men's and Women's Sizes for 22 Members

The club ordered men's and women's cuts together, in sizes up to 3XL, from a single spreadsheet that also held each member's name and title.

Women's cut polos were one of the organizer's first questions. Both cuts come from the same listing, so the club could mix them freely within one design, and every shirt counted toward the 20-piece embroidery minimum. The women's short sleeve cut and the men's cut carry the same logo, trim and name layout.

Each spreadsheet row had a member's name, a title or none, a cut and a size. During proofing one member's size changed to 3X, which was simple because the list was still open. Changes like this are easiest before final approval, so close the list before you sign off.

For sizing, ask members to compare a polo they already own with the measurements on our size guide. It takes a few minutes and saves an awkward swap later.

The Outcome: In Hand Two Days Early, One Fix Before Presentation Night

The 22 polos were delivered by UPS on 19 October 2026, two days before the club's 21 October deadline. One shirt missing its name got a heat transfer fix, shipped the next working day.

The club's organizer approved the design with a short message: "Everything looks great!" The order was paid on 28 September, the trim color and font were signed off on 1 and 2 October, and production continued from there. The shirts reached Maumee, Ohio about 15 business days after payment, within our standard 12 to 18 business days after mockup approval.

After delivery, the club found that one 3XL shirt was missing its printed name and title. With the presentation close, we chose a fix the club could apply itself. The next working day we shipped a heat-applied name transfer by USPS from our Houston location, sized to match the other shirts.

The transfer is a PET sheet that applies with a household iron, and we sent instructions with it: set the iron to 135 C (275 F), press firmly for about 10 seconds, then peel off the film. That way the member's shirt could be finished at home before presentation night.

What Other Clubs Can Take From This Order

Start with a picture, check the minimums, review fine logo detail at real size, keep one sheet of names and sizes, and leave a buffer before your event.

  • A reference picture is enough to start. A photo of a polo you like and your logo are enough for a first mockup.
  • Know the two minimums. Embroidery starts at 20 pieces per design; contrast cut-and-sew panels start at 50.
  • Check the logo at real size. Small rings, flags and lettering are where proofing questions come up.
  • Use one sheet for everyone. Name, title, cut and size in one row per person.
  • Plan the date backward. Allow 12 to 18 business days after mockup approval, plus time for proofing and a few days of buffer, so a small fix can still land before the event.

The same plan works for team polo shirts of any kind, and for offices that want work polo shirts embroidered with a company logo. Our guide to custom team polo shirts for sports clubs has more ideas for club colors and layouts.

How to Order Custom Embroidered Polo Shirts for a Club

Send a reference picture and your logo, check the minimums, collect names and sizes, approve the free mockup, and expect delivery 12 to 18 business days after approval.

Step 1: Send a picture and add your logo

Add your logo on the product page, or send it with a photo of a polo you like. Name the body and trim colors you want and attach a swatch if you have one; we pick the closest available match.

Step 2: Check the minimums

Embroidery starts at 20 pieces per design. Contrast cut-and-sew panels need 50, so smaller groups keep the look with trim on the collar, cuffs and shoulders.

Step 3: Collect names, titles, cuts and sizes

Build one spreadsheet, mix men's and women's cuts freely, and decide whether names will be printed or embroidered.

Step 4: Approve the free mockup

Check the logo at real size, every name and title, and the trim colors. Ask about any fine detail before you approve, because production follows the approved mockup.

Step 5: Production and delivery

Shirts arrive 12 to 18 business days after mockup approval. If you have an event date, tell us before ordering so we can plan around it.
