Uniform Polo Shirts: How to Roll Out a Staff Uniform Program
Uniform polo shirts work best as a program, not a one-off order: measure everyone, set how many polos each person gets, choose colours by role, decide on names, and plan how new hires get theirs. Ours are embroidered on a CVC cotton and polyester pique polo in sizes XS to 3XL, from $29.95, starting at 20 pieces per design.
The hard part comes months after launch, when three new hires start on the same Monday and their polos have to match their manager's. This guide covers how to keep a staff uniform consistent, using the polos in our uniform polo shirts collection. Still choosing garments? Start with our custom uniforms buyer guide.
What Does a Uniform Polo Shirts Rollout Involve?
Five decisions, made in order: sizes, polos per person, colour by role, names, and a reorder plan. Settle them before the first order and the program runs smoothly for years.
| Decision | What to settle | When |
|---|---|---|
| Sizes | Every person's size, measured rather than guessed | Before the quote |
| Polos per person | Usually 3 to 5, plus a spare stock | Before the quote |
| Colour by role | Which roles wear which body colour | Before the mockup |
| Names | First names, full names, titles or none | With the size list |
| Reorders | Spare stock and a reorder trigger | Before launch day |
Give one person ownership of the program, usually the office manager or someone in operations. They keep the size list, name list and order history. Employee uniforms drift when nobody owns them.
Run a Sizing Round Before the Full Order
Collect sizes by measurement, not memory. For a large team, order one department first as a pilot batch of at least 20 polos, let them wear it for two weeks, then order everyone else.
Our embroidered polos come in XS to 3XL, and the size chart on each product page lists the chest width for every size. Ask each person to lay a polo that fits them flat, measure across the chest just below the armholes, and match that number. A guessed size is the most common reason a uniform ends up in a drawer.
Embroidered polos start at 20 pieces per design, so a single fit sample is not an option. Run a pilot instead: seven to ten people, two or three polos each, which clears the minimum. After a fortnight of shifts and washes, correct the size list and order for everyone else.
Smaller teams can skip the pilot. Either way, keep one spreadsheet with name, role, size and number of polos: it becomes your order, your name list and your reorder record. If anyone falls outside XS to 3XL, tell us before you order.
How Many Uniform Polos Per Employee?
Three per full-time employee is the working minimum: one worn, one in the wash, one ready. Four or five covers a five-day week with one weekly wash. Part-timers usually need two.
| Staff type | Polos each | Why |
|---|---|---|
| Full-time, washes once a week | 4 to 5 | A clean polo for every shift |
| Full-time, washes midweek | 3 | One worn, one washing, one ready |
| Part-time | 2 | Two or three shifts a week |
| Managers and front desk | 4 to 5 | Most visible, replaced first |
| Seasonal staff | 2 | A short stint, from spare stock |
Then add spare stock of about 10% of the order in the middle sizes (M, L and XL) for new hires, spills and changed sizes. A 25-person team on three polos each needs 75, plus seven or eight spares.
If part of the team works outside through winter, swap one or two of their polos for a long sleeve uniform polo with the same logo. It is a separate product with its own 20-piece minimum.
Colour by Role Without Breaking the Minimum
Give a role its own body colour only when that role adds up to 20 polos or more, because the minimum is 20 pieces per design. Smaller roles can share the main colour and show their title under their name.
Colour by role helps customers find the right person. Count polos, not people. A garden centre with 30 floor staff and 6 supervisors on three polos each has 90 floor polos and 18 supervisor polos. For supervisors, either give each of them four polos (24 pieces) or keep them in the main colour with "Supervisor" stitched under their name.
The Solid Custom Polo is the simplest base for a multi-colour program: the product page lists navy, black, charcoal, white, forest green, burgundy and royal blue, with Pantone matching for brand colours.
Collar style changes the numbers. A collar with two or more separated stripes, like our Stripe Tipped Polo, starts at 50 pieces per design; plain or single-colour collars start at 20. The Fully Custom Embroidered Polo lets you set the body, collar, cuffs and placket to your brand colours under the same rules.
Adding Names: Personalized Uniform Shirts
Names go on the right chest, opposite the logo, in one font, size and thread colour for the whole team. Send them in the same spreadsheet as the sizes, and every name appears on the mockup before production.
Personalized uniform shirts make staff easier to approach. Decide the policy first: first names for guest-facing roles, full names where staff sign paperwork, and an optional title line such as "Manager" or "Technician".
Keep every name on one line. As general embroidery guidance, lettering under about a quarter inch gets hard to read once stitched, so a first name at a comfortable size beats a long surname squeezed small. Check spelling against payroll: a misspelled name is stitched for good.
One trade-off: a named polo cannot go to the next new hire, so keep spare stock logo-only. New starters wear an unnamed polo from day one, and their named polos join the next reorder.
How Much Does a Uniform Polo Program Cost?
Our custom uniform polo shirts are priced by size, from $29.95 for XS to $41.95 for 3XL, and the per-piece price drops on larger orders. A 25-person team on three polos each comes to about $2,680 at list price.
| Size | List price | Example team of 25 (75 polos) |
|---|---|---|
| XS | $29.95 | 3 polos |
| S | $31.95 | 9 polos |
| M | $33.95 | 18 polos |
| L | $35.95 | 21 polos |
| XL | $37.95 | 15 polos |
| 2XL | $39.95 | 6 polos |
| 3XL | $41.95 | 3 polos |
That size mix totals $2,678.25 at list price, about $35.71 per polo, before volume pricing. The Fully Custom Embroidered Polo runs from $34.95 (XS) to $46.95 (3XL). Every order includes free logo digitizing, a free digital mockup within 24 hours, unlimited revisions and no setup fees.
Budget the year, not just the launch: plan a second, smaller order for new hires and replacements, and put the spare stock in the first order. For a firm per-piece price, send your size list through our contact page. To compare suppliers, see our guide to work uniforms companies.
Reorders for New Hires
Hand new hires an unnamed polo from your spare stock on day one, and reorder before the spares run out. A reorder of the same design starts at 20 pieces, so group new hires and replacements into one batch.
Delivery takes 12 to 18 business days after mockup approval, close to four calendar weeks, so reorder while the spares still cover about six weeks of hiring. A team that hires two people a month at three polos each should reorder at about a dozen spares.
We keep your approved design and thread colours on file. Quote your previous order number and we match the logo size, placement and thread colours, then send a mockup to confirm.
Need fewer than 20 now? Our Custom AOP Polo is sublimated edge to edge from 1 piece at $35.95, in men's and women's fits from S to 4XL. It is a 92% polyester polo with a printed logo, so it will not match embroidered staff polo shirts side by side; use it for event crews or temporary staff. Our embroidered vs sublimated polo guide explains the difference.
Keeping Colour Consistent Between Batches
Reorder the same product in the same colour, quote your previous order number, and keep one polo from the first batch as a reference. Fabric is dyed in lots, so issue each team from a single batch where you can.
Every polo in the program is the same uniform pique polo: CVC 65% combed cotton, 35% polyester, cut, sewn and embroidered in Vietnam by our production team. Thread colours are matched to the Pantone codes on your order. Fabric, as in any garment production, is dyed in lots, and two lots of one colour can differ by a shade.
That difference shows when an old, much-washed polo stands next to a new one at the same counter. So order your core team in one batch, keep spares from that batch, and replace a team's worn polos together rather than one at a time.
The same goes for the logo: change it for everyone within one rollout window, or the team wears two brands for a year. Our custom polo shirts with logo guide covers logo placement and colour matching.

Uniform Polo Shirts FAQ
Quick answers to what office managers and business owners ask most about a staff uniform program.
What is the minimum order for uniform polo shirts?
20 pieces per design for our embroidered uniform polos. Styles with a collar that has two or more separated stripes start at 50. For groups under 20, our sublimated AOP polo starts at 1 piece.
How many uniform polos should each employee get?
Three for full-time staff is the working minimum, four or five for a five-day week, and two for part-timers. Add about 10% spare stock in the middle sizes.
Can we add employee names to the polos?
Yes. Names go on the right chest opposite the logo, in one font and thread colour for the whole team, and every name is shown on the mockup before production.
What fabric are the uniform polos made from?
CVC 65% combed cotton, 35% polyester in a pique knit, cut, sewn and embroidered in Vietnam by our production team.
How much do uniform polo shirts cost?
Our preset styles run from $29.95 for XS to $41.95 for 3XL, and the Fully Custom Embroidered Polo starts from $34.95. The per-piece price drops on larger orders, with no setup fees.
Can different roles wear different colours?
Yes. Each body colour is its own design with its own 20-piece minimum, so split colours only for roles that reach 20 polos.
Will a reorder match our first batch?
We keep your design and thread colours on file. Fabric is dyed in lots, so a slight shade difference is possible; keep a reference polo and issue each team from one batch.
How long does a uniform order take?
12 to 18 business days after you approve the mockup, shipped worldwide with tracking. The free mockup arrives within 24 hours.
What if the polos do not match the approved mockup?
We remake them at no cost under our remake-it-free guarantee.
